Our Meeting Room Design Process

    Stage 01, Brief and Site Assessment

    We review how the room will actually be used: board meetings, client presentations, video calls, training, or a mix. Then we assess the space, ceiling void, power, data, connectivity, and any building management rules affecting the works. The visit is free, anywhere in Dubai.

    Stage 02, Concept, Layout and 3D Visualisation

    Your designer proposes a layout and seating plan, material palette, lighting scheme, and AV placement, presented with 3D renders so you can see the finished room before anything is ordered or built. Changes here cost nothing but a conversation.

  3. 03

    Stage 03, Procurement and Fit-Out

    We source furniture, coordinate the AV installation, and manage joinery and construction on site, sequencing the work around your office schedule so the rest of the floor continues uninterrupted. Noisy works are programmed for evenings or weekends where the building allows it.

    Stage 04, Styling, Testing and Handover

    Final styling, a full walkthrough, and a live technology test with your team before we call the room finished. We stay available for adjustments afterwards, because the small refinements surface in the first fortnight of real use.

Boardroom, Huddle Room, or Training Room?

Not every meeting space should be designed the same way. A common mistake is applying boardroom formality to every room on the floor, or squeezing a training session into a space never sized to hold that many people. Clients often ask for one large boardroom and end up better served by a mid-size boardroom plus two huddle rooms.

The Boardroom

Formal, client-facing and executive-facing, typically 8 to 16 seats. Priorities: a strong table as the centrepiece, premium finishes that hold up to close inspection, a large-format display or dual screens positioned for every seat, and genuine acoustic privacy. This is where the sensitive conversations happen, so the room has to keep them in.

The Huddle Room

Informal, fast-turnaround space for 2 to 5 people, booked in short blocks through the day. The priorities shift: quick-connect AV that works without a support ticket, compact seating still comfortable at 40 minutes, and glass or acoustic partitioning that keeps the room connected to the floor without letting noise through.

The Training and Multi-Purpose Room

Larger capacity and flexible layout, often 12 to 30 or more people. Reconfigurable furniture, robust AV that handles presentations and hybrid attendance equally well, durable finishes that survive frequent rearrangement, and planned storage for stacked chairs and folded tables.

Screen size and placement calculated against sightlines from every seat, cable and power routing built into the table and floor, camera and microphone positioning that gives remote attendees a clear view and clean audio, and lighting adjusted for in-person comfort and for how faces read on camera.

Working Alongside Specialist AV Integrators

For the hardware and system installation itself, we work alongside specialist AV integrators so the technology and the room are planned together rather than fitted separately afterwards. For boardrooms we typically design a custom table as the centrepiece, made to the exact dimensions of the room and detailed with integrated power and data. For huddle and training rooms we favour flexible or modular pieces that can be reconfigured as the way your team works changes.
